Part-Time Administrative Assistant


** This is an In Office position. The office is located at the Pulehunui base yard. Candidates must be willing/able to commute to the office.


Are you an organized, detail-oriented professional who thrives in a fast-paced construction environment? Do you enjoy managing administrative tasks while keeping operations running smoothly? Tom's Backhoe & Excavation Co. is looking for an Admin/Assistant to join our growing team.


At Tom's Backhoe & Excavation Co., we specialize in civil construction projects across Maui, handling everything from excavation and grading to utility installations and site preparation. Our company has built a strong reputation for reliability, professionalism, and top tier service. As we continue to expand, we need a dedicated Office Admin/Assistant to help support our day-to-day operations and keep everything on track.


Key Responsibilities:

  • Provide administrative support to the team, including scheduling, data entry, and correspondence.
  • Assist with document management, including contracts, invoices, and job site paperwork.
  • Coordinate with vendors, subcontractors, and suppliers to ensure smooth project operations.
  • Answer phone calls and emails, respond to inquiries, and direct them to the appropriate team members.
  • Maintain office organization, inventory, and supplies.
  • Assist with payroll processing and employee time tracking.
  • Support the project team with any additional administrative tasks as needed.


Qualifications:

  • Previous admin experience in construction, contracting, or a related field is a plus
  • Strong organizational and time-management skills with the ability to multitask.
  • Experience handling confidential information
  • Proficiency in Microsoft Office Suite (Word, Excel)
  • Working knowledge of Google Suite
  • Excellent communication and interpersonal skills
  • Detail-oriented with a proactive approach to problem-solving.
  • Experience with payroll, invoicing, or bookkeeping is a plus!
  • Experience with Slack and/or Monday.com a plus


Compensation:

  • Part Time 20 Hours a week.
  • Competitive Pay based on skill level.
