Construction Office Assistant (In-Office)

Local candidates only - must be able to commute to our Pulehunui base yard

At Tom's Backhoe & Excavation Co., we specialize in civil construction projects across Maui--from excavation and grading to utility installations and site prep. We're looking for a dependable Construction Office Assistant to help keep our operations running smoothly behind the scenes.

This is a full-time, in-office role--ideal for someone organized, proactive, and comfortable in a fast-paced construction environment.

What You'll Do

• Provide day-to-day administrative support (scheduling, data entry, correspondence)
• Manage and organize documents including contracts, invoices, and job files
• Coordinate with vendors, subcontractors, and suppliers
• Answer phones and emails; route inquiries to the appropriate team members
• Maintain office organization, supplies, and inventory
• Assist with payroll processing and employee time tracking
• Support project managers and field teams with administrative needs

What We're Looking For

• Previous administrative experience (construction or contracting industry a plus)
• Strong organizational skills with the ability to multitask and prioritize
• High level of discretion when handling confidential information
• Proficiency in Microsoft Office (Word, Excel) and Google Workspace
• Clear communication skills and a team-first mindset
• Detail-oriented with a proactive, problem-solving attitude
• Experience with payroll, invoicing, or bookkeeping is a plus
• Familiarity with Slack and/or Monday.com is a plus

Compensation & Benefits

• $20-$25/hour (based on experience)
